We start with pay schedule design — determining the correct pay frequencies, run approval workflows, and cutoff dates for each entity. We then configure earning codes for all pay types (regular, overtime, bonus, commission, reimbursement), deduction categories for benefits and voluntary deductions, and state tax registrations for every state where the company has employees.

Before running the first live payroll, we complete at least one parallel run: processing payroll in both the old system and Rippling simultaneously, reconciling the results line by line. We don't go live until the parallel confirms Rippling's output matches expected results. Post-go-live, we configure the accounting GL mapping so payroll automatically posts to the correct accounts in QBO, Xero, NetSuite, or Intacct after each run.
